Ever since changing over our mail server our Xerox printer had been giving us Error Code 016-781. We have also not been receiving e-mails from our Xerox printer during this time.
The error code 016-781 means:
- Cause – Could no connect to the server during the file forwarding by Scan Services
- Remedy – Ask the network administrator to check the network environment or server environment
Since we can still print from our Xerox printer I know that machine is connected properly to the network. I am also still access the CentreWare Internet Services remote administration page on the printer.
To change the e-mail settings for your Xerox Printer in the Xerox CentreWare administration application you need to do the following:
- log into the Xerox Centerware application
- navigate to the “Properties” top tab
- expand the “Protocol Settings” folder on the side
- scroll down and then click on the “E-Mail” option
- enter the valid SMTP Server Address
- check the SMTP Port Number
- confirm the Authentication Type being used by your mail server
- enter the valid user name
- enter the password
After you have put in the proper details you need to click on the “Apply New Settings” button on the bottom of the page to save the changes.
Now you should be able to send e-mails from your Xerox Printer to whatever e-mail addresses you define in the Job Templates.
When you choose a user name and password it is best to create a separate user name just for the printer so that the password is not changed. Our error code 016-781 came up because someone had changed the password on the user that I had set-up for the printer to use. I now have a separate user name and unchangeable password set-up on my mail server for our Xerox printer.

This may be useful to some people, but we upgraded to Exchange 2010, which seems to inspect it’s packets a bit more closely if you’re printer is on a managed nextg connection which nats through a different network. For example out printer address appeared as 192.168.xx.yy but we had to add the following to our connector in exchange to get it to work:
10.0.0/8 (our ISP’s net) the printer now works. Hope it helps someone.

If you are getting this, call Xerox, get to d level state you heard about the SHA-2 issue, and would like to get a FER started because you need that ability on your device and are receiving the error.

On the machine when scanning an error
The credentials are current, other functions work.

016-781 means there is no communication to mail.smtp2go.com, which implies a trouble in the DNS.
I see your gateway is just 192.168.1.1, but your DNS is 192.168.1.10, odd , but not impossible.
I would suggest though,disabling Obtain DNS Server address Automatically and then setting the secondary DNS to 8.8.8.8

You will likely need to do a Wireshark trace if it is still giving the same fault. As I stated, it means no connection, if Gateway,DNS,Proxy(If in use) and time are correct it should not happen unless the domain in question is down. It can’t be firmware related because it doesn’t get to the point of not being compatible

Xerox 240: error 016-781: Scanner Network error

So, I almost don’t know where to begin.
For starters, I don’t believe that I’m experiencing a software issue. I read in another Thread that a corrupt mail box could be causing the issue.. so, I’ve checked the status of the mail folder (via fiery configuration: Clear Each Scan Job) and it appears to have the correct (manually) settings.
I’ve read that you can determine the communication between the rip and the 240 by simply clicking the «refresh templates» button under «network scanning» on the 240. I tried this and it failed to refresh ever time.
I’ve also read of the crossover cable could be the root of the error.. so I made sure that it was in place (and even replaced it with a new one.)
Even after all of this, I’m still having the issue.
A Xerox tech suggested that it might be an issue with the SCSI cable on the back.. but I’ unsure of rather or not that’s what’s doing it. Could this be it? Might it, instead, have something to do with network settings? The machine does appear to be sending and receiving info from the printer (oddly enough).
Now, the scanner still works.. It makes copies and will even scan a document.. it doesn’t error out until it attempts to «transfer» the file to the mailbox.
What gives? Any help would be appreciated..

But this was working before the firmware upgrade. Also we are sending from an account within their own doman so surely it wouldn’t see this as SPAM.

Then do a wireshark trace and find out what is actually happening. I can only go by the fault code you provided, and yes, Office365 can easily block inside a domain and does.

I have put the address in the «allowed» section within Office 365. I have also run a mail trace and I can’t see any of the emails coming into Office 365 since we updated the firmware.
Although since changing that we are now getting the error code 016-781.

You had to have changed something on the printer to get 016-781, or someone else did, because that means absolutely no data to the server, meaning the printer never found a connection of any kind to smtp.office365.com, which would not happen due to encryption or protocols, it could only be that the server is put in wrong, or the gateway/subnet/DNS is wrong on the printer.

with a new System there was again the failure, that no mail was send with the office365 smtp server.
But i found the problem:
Check under System/Security -> SSL/TLS Settings, that for «Device Certificate — Client» is the Machine certifikate selected.
On our new system this was not specified, after selecting the certificate of the system, the mail send works with office365 !

Recent experience with a B7035: Kept getting 016-781 server connection error
using smtp.office365.com port 587. It would send once, then seemed to get blocked for 30 minutes.
I was at the point where I was ready to do a Wireshark trace. then a 2nd Level analyst saw that the device was set up (under connectivity) as «Dual Stack». changed it to ipV4, and turned off ipV6.
This fixed the problem.

very interessting thread here. (was pointed this direction by Xerox supporter).
I’ve just installed 4 x C405 & 1 C8035 at a customer with SMTP to their Office365 account.
The strange part is that the C8035 runs perfectly and have been running for 2 weeks.
But the C405’s act really really strange.
I can setup the devices, do a scan and all is fine. Then some time later they stop working.
Then trying to diagnose devices/configuration and suddenly customer reports, «what did you change, it works now» only to get back to me 2 hours later saying; «now all the C405’s stopped working».
So there are DEFINITLY something awry with theese devices.
2 of the devices are on latest (as of yesterday) general release and one are an older version. They all act in the same manner.
I will try tomorrow and disable the dual stack and see if that changes anything and report back here.

that firmware have been tested without any effect.
I haven’t however tested the SPAR’s . but as nothing are mentioned in release notes of SMTP errors i see no point.
also I can confirm that removing the ‘Ethernet Dual Stack’ have improved the behavior of the SMTP feature.
I talked alot with my customer today (4 C405’s, 1 C505 & 1 C8035) only the A3 MFP acted good and without issues.
The remaining (C405/505) had problems.
a user reported that he could go to the printer in production, do a scan, return 4 min later, do a scan (wich failed), move to printer in shipping doing an SMTP, 1 hour later going back to device at production and suddenly do a scan again.
All 4 scans were to same destination, no popo procedure, all devices setup with same SMTP-settings.
After we removed dual stack they have been able to scan for ‘a few hours’ without incidents. we are however still a little cautios calling it ‘solved’ 🙂

This fault can occur in the following circumstances:.
•
The machine was unable to establish a connection to the Scan Server during the Network
Scanning file transfer operation.
•
The machine was either unable to establish a connection to the Email (SMTP) server or
was unable to authenticate (log in) to the Email server during the Scan to Email or Inter-
net Fax file transfer operation.
Procedure
The customer can print to the machine through the Ethernet port on the machine.

Confirm that the Ethernet network drop cable is securely connected to the machine and
the wall port. The recessed green LED next to the Ethernet port on the machine should be
lit if the machine is connected to a live Ethernet drop. The green LED is lit.

Connect another Ethernet straight through cable between the machine and the wall
port and have the customer confirm that the wall port is live.
If the LED is still off, replace the Printer PWB in the machine.
Verify that the machine has the correct TCP/IP settings with the customer. The cause of
the printing problem is likely to be the cause for the Scanning failure as well.
For Scan to Email or Internet Fax failures, perform the following:
1.
Print a Print Mode System Settings list report.
2.
Check the SMB section on page 5 of the report for the following:
•
The Host Name setting must have no spaces in the name and no periods (.), slashes
(/ or ) or star symbols (*) in the name. If the Host Name has a space in it or has any
of these characters, have the customer change the Host Name to eliminate these
characters. If the problem continues, proceed to step 3.
3.
Have the customer confirm that the Email / Internet Fax Settings section on page 5 of
the report contain the correct settings for their network:
•
The Send Email setting must be set to Enabled.
•
The Server Name / IP Address setting under the sub-header SMTP Server must
either be set with the IP address or Host Name of the customer’s SMTP E-mail
server.
NOTE: If the Host Name of the SMTP Server is entered into the machine, then the
machine must be configured with the customer’s DNS settings (listed on page 3 of
the report).
•
The Machine’s E-mail Address setting must contain an email address with the cus-
tomer’s domain name and the address must be entered in the proper syntax (i.e.:
wc7132@company.com).
•
The E-mail Send Authentication setting will be set in one of the following ways:
–
Set to OFF if the customer’s SMTP E-mail server does not require the machine
to authenticate or log in prior to sending the e-mail message.
–
Set to SMTP AUTH if the customer’s SMTP E-mail server requires that the
machine authenticate or log in to the server using an SMTP log in name and
password prior to sending the e-mail message.

WorkCentre 5225, 5230
•
If the E-mail Send Authentication setting is set to SMTP AUTH, then an
additional setting labeled SMTP AUTH Login Name will appear on page 5
of the report along with the Log in name that the machine will use. The
customer must verify the Log in name listed on the report. A Password
may also have been entered into the machine, however, it will not be listed
on the report.

Set to POP3 AUTH if the customer wants the machine to authenticate or log in
to their POP3 server using a POP3 log in name and password prior to sending
the e-mail message.
•
If the E-mail Send Authentication setting is set to POP3 AUTH, then
have the customer verify the Login Name that is listed under the header
POP3 Server on page 5 on the report. A POP3 Password may also have
been entered into the machine, however, it will not be listed on the report.
The customer confirmed that the Email / Internet Fax settings are correct.

If the customer is not available or has confirmed that the settings are not correct, then
they must confirm that the settings are correct or they must enter the correct settings into
the machine before any further troubleshooting can be done.

Procedure
Perform the steps that follow:
1. Advise the customer to:
a. Correctly set the device TCP/IP, IP address, subnet mask and gateway.
b. Check that the SMTP server, IP address or host name and port number are correct.
c. Check whether characters other than ASCII are set for the host name of the device. Set the host name of the device to ASCII characters.
2. If the fault persists, perform the 016A Scan to Network Error Entry RAP.

This fault can occur in the following circumstances:.
•
The machine was unable to establish a connection to the Scan Server during the Network
Scanning file transfer operation.
•
The machine was either unable to establish a connection to the Email (SMTP) server or
was unable to authenticate (log in) to the Email server during the Scan to Email or Inter-
net Fax file transfer operation.
Procedure
The customer can print to the machine through the Ethernet port on the machine.

Confirm that the Ethernet network drop cable is securely connected to the machine and
the wall port. The recessed green LED next to the Ethernet port on the machine should be
lit if the machine is connected to a live Ethernet drop. The green LED is lit.

Connect another Ethernet straight through cable between the machine and the wall
port and have the customer confirm that the wall port is live.
If the LED is still off, replace the Printer PWB in the machine.
Verify that the machine has the correct TCP/IP settings with the customer. The cause of
the printing problem is likely to be the cause for the Scanning failure as well.
For Scan to Email or Internet Fax failures, perform the following:
1.
Print a Print Mode System Settings list report.
2.
Check the SMB section on page 5 of the report for the following:
•
The Host Name setting must have no spaces in the name and no periods (.), slashes
(/ or ) or star symbols (*) in the name. If the Host Name has a space in it or has any
of these characters, have the customer change the Host Name to eliminate these
characters. If the problem continues, proceed to step 3.
3.
Have the customer confirm that the Email / Internet Fax Settings section on page 5 of
the report contain the correct settings for their network:
•
The Send Email setting must be set to Enabled.
•
The Server Name / IP Address setting under the sub-header SMTP Server must
either be set with the IP address or Host Name of the customer’s SMTP E-mail
server.
NOTE: If the Host Name of the SMTP Server is entered into the machine, then the
machine must be configured with the customer’s DNS settings (listed on page 3 of
the report).
•
The Machine’s E-mail Address setting must contain an email address with the cus-
tomer’s domain name and the address must be entered in the proper syntax (i.e.:
wc7132@company.com).
•
The E-mail Send Authentication setting will be set in one of the following ways:
–
Set to OFF if the customer’s SMTP E-mail server does not require the machine
to authenticate or log in prior to sending the e-mail message.
–
Set to SMTP AUTH if the customer’s SMTP E-mail server requires that the
machine authenticate or log in to the server using an SMTP log in name and
password prior to sending the e-mail message.

If the E-mail Send Authentication setting is set to SMTP AUTH, then an
additional setting labeled SMTP AUTH Login Name will appear on page 5
of the report along with the Log in name that the machine will use. The

on the report.

Set to POP3 AUTH if the customer wants the machine to authenticate or log in
to their POP3 server using a POP3 log in name and password prior to sending
the e-mail message.

If the E-mail Send Authentication setting is set to POP3 AUTH, then
have the customer verify the Login Name that is listed under the header
POP3 Server on page 5 on the report. A POP3 Password may also have
been entered into the machine, however, it will not be listed on the report.
The customer confirmed that the Email / Internet Fax settings are correct.

So, I almost don’t know where to begin.
For starters, I don’t believe that I’m experiencing a software issue. I read in another Thread that a corrupt mail box could be causing the issue.. so, I’ve checked the status of the mail folder (via fiery configuration: Clear Each Scan Job) and it appears to have the correct (manually) settings.
I’ve read that you can determine the communication between the rip and the 240 by simply clicking the «refresh templates» button under «network scanning» on the 240. I tried this and it failed to refresh ever time.
I’ve also read of the crossover cable could be the root of the error.. so I made sure that it was in place (and even replaced it with a new one.)
Even after all of this, I’m still having the issue.
A Xerox tech suggested that it might be an issue with the SCSI cable on the back.. but I’ unsure of rather or not that’s what’s doing it. Could this be it? Might it, instead, have something to do with network settings? The machine does appear to be sending and receiving info from the printer (oddly enough)…
Now, the scanner still works.. It makes copies and will even scan a document.. it doesn’t error out until it attempts to «transfer» the file to the mailbox.
What gives? Any help would be appreciated..

Yes. The network is sending and receiving packages (I guess that’s proof enough that the cables are working)… I think it has something to do with the network.. and/or file destination.. but I’m unsure.
The problem arose after a Tech re~installed the software.

not sure if i can be of much help to you, but one recommendation. print out your configuration page, sometimes my 240’s jump ip addresses. if not try hooking up your printer to a wireless router and see if that solves the problem. if not i will pass you a number of a xerox tech that might be able to help.

I’ve checked into the network settings and something does seem off.. the IPs are fine… but the subnet mask is different (I know computers, but not networking.) Might that have anything to do with it?
In any case, I’ve sent our xerox tech an explanation of what’s going on.. I’ll post whatever fixes the issue once it’s fixed.

Do you have a bustled controller or a stand alone Fiery rip? Print out the machines addresses and the rips.Let us know what they are. Try to ping the ports. It probably cant connect between the rip and the machines scan port which is where the crossover cable connects. Probably lost the machines scan address.

I think I’m working with a stand alone Fiery Rip (There’s a dongle connected to the back of the PC that grants permission to Impose.. but there’s no external server.. so I don’t think is bustled. Sound about right?)
I’ll post the addresses after-while.
Well, the network is connected (if that’s what you mean.) It shows that data is being sent back and forth between the server and the printer (Via scan network).

you need to make sure the network is setup correctly. i have all my machines hooked up to a wireless hub, sorry i can t be of more help.

Sounds like corruption. Does rebooting the machine resolve the problem temporarily? System software has to be reloaded then mailbox corruption patches have to be applied to fix the problem for good.
Ever since changing over our mail server our Xerox printer had been giving us Error Code 016-781. We have also not been receiving e-mails from our Xerox printer during this time.
The error code 016-781 means:
- Cause – Could no connect to the server during the file forwarding by Scan Services
- Remedy – Ask the network administrator to check the network environment or server environment
Since we can still print from our Xerox printer I know that machine is connected properly to the network. I am also still access the CentreWare Internet Services remote administration page on the printer.
To change the e-mail settings for your Xerox Printer in the Xerox CentreWare administration application you need to do the following:
- log into the Xerox Centerware application
- navigate to the “Properties” top tab
- expand the “Protocol Settings” folder on the side
- scroll down and then click on the “E-Mail” option
- enter the valid SMTP Server Address
- check the SMTP Port Number
- confirm the Authentication Type being used by your mail server
- enter the valid user name
- enter the password
After you have put in the proper details you need to click on the “Apply New Settings” button on the bottom of the page to save the changes.
Now you should be able to send e-mails from your Xerox Printer to whatever e-mail addresses you define in the Job Templates.
When you choose a user name and password it is best to create a separate user name just for the printer so that the password is not changed. Our error code 016-781 came up because someone had changed the password on the user that I had set-up for the printer to use. I now have a separate user name and unchangeable password set-up on my mail server for our Xerox printer.
